Description of Position

PEC is seeking to hire a legal assistant to help in-house counsel perform nonprofit organization administration and management as well as to administer and coordinate logistical and record-keeping procedures for the land conservation department that includes real estate transactions and property management. The position requires a basic understanding of corporations and non-profit land trust organizations, ability to manage record-keeping processes, an attention to detail, experience using Google Suite and Microsoft Office productivity software, familiarity with database management software, and ability to work cooperatively with colleagues to achieve organizational mission.

Areas of Responsibility

The legal assistant will focus on paralegal tasks, corporate record-keeping, and land stewardship program needs. The legal assistant will work with in-house counsel to perform legal work related to nonprofit management and to support PEC in its advocacy positions and land conservation projects. The legal assistant will work with the director of conservation and PEC field staff to ensure that PEC's stewardship of its conservation properties, including easements and fee lands in its nine-county region, is consistent with PEC's policies and practices related to land conservation, stewardship, and record-keeping.

Paralegal Tasks and Corporate Governance

  • Assist PEC’s legal counsel in litigation, in-house counsel responsibilities, transactions, contract administration, and policy matters
  • Perform basic legal research
  • Prepare, review, maintain and file corporate records including resolutions
  • Coordinate signatures for documents and materials
  • Produce documents related to the development and implementation of corporate policies and templates
  • Provide contract support for standard corporate agreements, such as independent contractor agreements
  • Provide administrative support to legal counsel including maintaining records for litigation
  • Work with other members of the management team on special projects and initiatives
  • Assist in update of PEC document retention policy and ensure compliance
  • Coordinate national and state corporate and nonprofit filings
  • Assist in federal grant management including procurement and internal controls

Conservation Land Stewardship

  • Maintain and update record-keeping of PEC’s conservation lands for accreditation purposes
  • Maintain compliance with Land Trust Alliance Standards & Practices and any updates
  • Fulfill Land Trust Alliance accreditation requirements
  • Ensure physical documents match with electronic records for offsite storage project
  • Train and specialize in LOCATE/Salesforce CRM database management
  • Ensure completion of annual monitoring visits on all PEC-held properties and conservation easements, consistent with PEC/Piedmont Foundation Land Conservation Policies and related procedures and guidelines
  • Complete public records research on conservation easements annually, including collecting and reviewing information available from locality land records offices, real assessment records, and applications for building and development permits and related records
  • Complete annual survey to landowners with land protected by PEC-held or co-held conservation easements
  • Incorporate public records data or other relevant information for review by Field Staff prior to annual monitoring visit
  • Maintain conservation easement and fee land stewardship files and databases, consistent with PEC record-keeping policy
  • Manage supply of various land conservation publications and respond to initial inquiries from the public for such printed materials such as conservation easement packets
  • Assist, as appropriate, PEC legal counsel and land conservation staff on easement interpretations, approvals and amendments
  • Train PEC and other land trust staff on stewardship issues
  • Track PEC’s stewardship programs and issues
  • Participate in annual evaluation of all stewardship policies and procedures


  • Bachelor’s degree required. 2-4 years work experience or Graduate degree, preferably in nonprofit management, business administration, law, titlework or a related field preferred
  • Experience with federal grants, corporations, and charitable organizations preferred
  • Demonstrated strong organizational skills in recordkeeping, filing, scheduling, and other administrative areas
  • Demonstrated strong communication skills, both written and oral, including ability to write, edit, and proofread written materials
  • Ability to organize, coordinate and manage diverse activities and deadlines
  • Accuracy and detail in paperwork
  • Excellent interpersonal skills and the ability to work well with a diverse constituency
  • Knowledge and experience with Salesforce or other CRM databases
  • Experience with and comfort using Google Suite and Microsoft Office
  • Experience using digital file storage systems, such as Box, Egnyte, OneDrive
  • Requires minimal supervision
  • Valid driver’s license and reliable transportation required
  • Ability to lift up to 50 pounds


Salary will be commensurate with experience.


In addition to a salary, the legal assistant will be eligible to participate in health, disability, term life insurance benefits and a 403 (b) employee pension plan.
